Terms & Conditions

These terms govern your access to and use of TylerHQ(the “Service”) — the booking, events, member-management and website platform we provide for Masonic halls (“venues”) and lodges. By creating an account or using the Service you agree to these terms. If you do not agree, please do not use the Service.

1. Who we are

The Service is operated by Pure Pleasure Ltd, a company registered in England & Wales (no. 05897389), of 39 Hollybank Crescent, Hythe, Southampton, SO45 5FZ. You can contact us at support@tylerhq.net.

2. Accounts & eligibility

  • You must be at least 18 and authorised to act for the venue or lodge you register.
  • You are responsible for your login, for keeping your password secure, and for all activity under your account.
  • Information you give us at sign-up must be accurate and kept up to date.

3. Subscriptions, payment & renewals

The Service is offered on monthly or annual subscription plans, priced per venue and per lodge. Prices are shown at sign-up and on our website.

  • How payment is taken. Payments are processed securely by Stripe. We never see or store your full card details — they are handled entirely by Stripe, a PCI-DSS Level 1 certified provider. By subscribing you authorise recurring charges to your chosen payment method.
  • Renewals. Subscriptions renew automatically at the end of each billing period until cancelled.
  • Plan changes.Upgrades take effect immediately (with proration). Interval switches and downgrades take effect at the end of your current paid period, so you never lose time you’ve already paid for.
  • Failed payments.If a payment fails we’ll email you and allow a 14-day grace period to update your card. After 14 days unpaid, your public site and widgets are paused; after a further 90 days the account and its data may be deleted. Paying at any point before deletion restores everything.
  • Cancellation.You can cancel any time from your dashboard; your plan stays active until the end of the period you’ve paid for.
  • Refunds. Except where required by law, fees already paid are non-refundable. We do not provide pro-rata refunds for partial periods.

Note: payments your members make to you (e.g. event or hall-hire fees) are processed through your own connected Stripe account, not ours. Those funds go directly to you, and your arrangements with your members are your responsibility.

4. Acceptable use

You agree not to:

  • break any law, or infringe anyone’s rights, using the Service;
  • upload unlawful, defamatory, or harmful content, or anyone else’s personal data without a lawful basis;
  • attempt to breach, probe, overload, scrape, or disrupt the Service or its security;
  • resell or sublicense the Service without our written permission.

We may suspend or terminate accounts that breach these terms.

5. Your content & your members’ data

You keep ownership of the content and data you put into the Service. You grant us a licence to host and process it solely to provide the Service. For the personal data of your members and enquirers, you are the data controller and we are your processor — see our Privacy Policy and the data-processing terms within it. You are responsible for having a lawful basis to hold that data and for your own privacy notices to your members.

6. Availability

We work hard to keep the Service available but provide it “as is” without a guaranteed uptime. We may carry out maintenance, and may change or discontinue features. We are not liable for downtime caused by third parties (e.g. hosting or payment providers) or events beyond our reasonable control.

7. Liability

Nothing in these terms excludes liability that cannot be excluded by law (such as for death or personal injury caused by negligence, or fraud). Subject to that, we are not liable for indirect or consequential loss, loss of profit, data or goodwill, and our total liability in any 12-month period is limited to the fees you paid us in that period.

8. Termination

You may stop using the Service and close your account at any time. We may suspend or terminate your access if you materially breach these terms or fail to pay. On termination your right to use the Service ends; we may delete your data after a reasonable period (see the Privacy Policy for retention).

9. Changes to these terms

We may update these terms from time to time. If we make material changes we’ll give reasonable notice (e.g. by email or in-app). Continuing to use the Service after changes take effect means you accept the updated terms.

10. Governing law

These terms are governed by the laws of England & Wales, and disputes are subject to the exclusive jurisdiction of the courts of England & Wales.
